Camp prep and organization meeting agendas and minutes for 2025
January 6, 2025
Agenda
- Welcome!
- Volunteer to keep notes in this agenda doc - Ben Wild
- List of attendees: Evan, Joel, Ben Wild, Dat, Tristan, Kyle, Fotis, Ben Bergon, Andy, Jihoon, Christophe, Neptune, Peter, Romain, Jeremy, Kyle, Gary, Jon, Gary, Alex, Alex Sartel, Dimitri, Renaud, Joe Tchen, Ben Schmid, Shuai, Jorge
- Communication
- Mailing List - most critical comms come through here
- Discord. Should we move Discord to WhatsApp?
- We're going to stay with Discord for now
- People can do a better job of configuring notifications
- Wiki. We have moved from Notion to BookStack.
- All you have to remember is wiki.futureturtles.com
- BookStack is free and open source.
- Limitation: multiple people cannot edit a single page at the same time.
- BookStack has better permissions architecture so we can give you accounts and keep things like bank account numbers private
- Don't use it for tabular stuff or databases (use Google Sheets and make a link from the wiki). Notion wasn't any good at that anyway.
- First Monday Meetings will continue until morale improves
- Subscribe to the calendar using this link
- Volunteer wanted to publish to Instagram (and any other socials that might arise)
- Camp Gift and Offering
- We might be doing a little bit too much for the size of camp that we have! Can we focus more on one thing?
- If we cut it from 4 to 3 parties, which would you keep?
- Opening party and Monday night Kink party are keepers
- Our public spaces include:
- DJ booth
- dance area
- lounge
- two observation decks / space nets
- cuddle fort
- pillow fort
- kink fort
- two bars
- minibar
- Add a large Lotus Bell Tent to replace cuddle/pillow/kink fort
- Architecture / Camp Decor
- Gary and Joel to work on layouts
- Last year we didn't change too much--we mostly just pulled the old decor out of storage. Some of it was pretty rancid. This is a chance to spruce up everything
- What's good? What do we need to replace? What would you like to see improved? What do you want to work on?
- Camp finances
- report from Camp Finance Turtles?
- Work Weekends - which of these would you want to participate in? (Dates TBD)
- Reno (Probably May 17/18)
- Do Bikes need any maintenance? Yes
- Wash them, build baskets. Build bike rack.
- Supplies and Tools
- Go through tool fort, replenish supplies, organize tools
- Do Bikes need any maintenance? Yes
- Empire (Probably May)
- Gayflower Upgrades
- replace rotten pineapple tanks
- need more backups
- reinforce poop deck
- Gayflower Upgrades
- Joshua Tree OR San Francisco?
- Refurbish the inside of the pillow fort
- Clean and restore all public interactivity gear, including audio gear, pillows and rugs, and more
- Note that another option is coming to build week in BRC (or food prep in Reno)
- Last week we had about 6 people doing build and 3? 4? people doing food prep. We need more people or we can't build as much as we did.
- Reno (Probably May 17/18)
- Membership
- Start getting your friends involved now; they will have to do one of the work things to be included in camp
- Camp leadership - tons of opportunities to be in charge of something!
- Christophe will be kitchen lead this year
- Jihoon is guardians lead
- Ben Wild is money lead and music lead
- Tools and supplies? Spacemaster?
- Parties and events? Grant and Bam Bam?
- Camp public frontage and architecture? Gary?
- Pillow fort lead?
- Strike lead?
- Volunteer coordinator?
- Transport Committee (AlexSF):
- Bikes
- Truck
- Camper transport / bus
- Drinks?
- Water and Electrical Infrastructure?
- Camp tickets / Stewards Sale Tickets coordinator
- Kick off meetings
- Dates TBD in SF and New York, in person, probably February
- January Intent Survey
- It is really helpful to know how many of our campers from 2023/2024 want to come back in 2025; a survey will go out soon. We'll also have a form right away for people who want to register interest so we don't lose track of anyone, but remember that new turtles need to participate and get sponsored, and can only be accepted on a space-available basis.

We have about 32 people in the camp so far and room for about 10 more. Now is the time to recruit!
- Aiming for a camp of 40, our goal is to create a friendly, safe retreat from the chaos of Burning Man, where everyone feels at home and gets to know each other within a few days.
Camp participation requirements: be part of the camp, members must contribute before arriving at the playa, either through Burning Man preparations or significant off-playa contributions.
- Ways to Get Involved:
- Work Weekends: The best option, especially for newcomers, to help with camp projects and get familiar with the team
- Joshua Tree (March 3-11)
- Reno Work Weekend (May 10-11)
- Empire (A few days starting from May 12)
- Build Week: Arrive on the playa a week early to set up camp. Not recommended for first-timers.
- Art Projects: Contribute to at least one of the two camp-affiliated art projects.
- Work Weekends: The best option, especially for newcomers, to help with camp projects and get familiar with the team
Getting Tickets to Burning Man (ticketing czar is Jeremy)
- For Ticket Aid, look at the dates closely
- Difference from previous years: For each of these sales, you must be online at noon PST, INCLUDING the Steward Sale.
Q&A:
-
Steward Sale tickets will be prioritized for returning Turtles in good standing.
-
We're still waiting for confirmation on pricing—whether Steward tickets will be $525 or vary—but be prepared for possible differences this year.
-
When ticket sales open, a Zoom link will be shared in the Discord for coordination.
-
Only buy the tickets you need—no extras.
Summary for the ticketing:
Every Turtle, whether returning or new, should register and show up for today’s sale. If tickets are on the lower tier ($525, $650) purchase them. If the price is higher, it's your choice.
If you don’t secure a ticket today and you're a returning Turtle, you can get one through the Steward Sale. If you're new, you'll need to try again in tomorrow’s sale or other upcoming sales.
Joshua Tree March 3 - 11
We'll be working on the pillow fort and refurbishing all our camp interactivity equipment (Tristan will be the czar)
The main AirBnB is full, but join the WhatsApp group if you would like to sync up on another one
Reno Work Weekend rescheduled to May 10-11 (Roman will be in charge of organizing), followed by a few days work in Empire
Maintain bikes (lead: Alex S) in the bike fort
Clean, sort, inventory and restock camp tools and supplies (lead: Spacemaster) in the tool fort
Empire (May 12 to a few days)
- Gayflower repairs and upgrades in Empire, if we have enough help - will be a very cool experience close to the playa
Who are the team leads (we still have openings!)
Here are some things we need leaders to step up for:
- Mess tent lead
- Drinks lead
Infrastructure - if you are interested, joining Infrastructure team is a great chance to learn about the generator, electrical grid, plumbing, water, pumps, etc. etc. Let Joel know if you are interested.
All about the Food Team (Christophe)
- We are planning a way to warm up a hot dinner for yourself easily any time of the night
- Will send out doodle for the meetings
All about the new camp design (Gary/Jetpack)
- If you are interested in physical architecture, decoration, interior design, projection art, etc. start getting involved!
- Also planning to build a new bar and DJ booth. Contact Jeremy to help

Q&A
-
The shipping container will be inside the camp, offering visibility both inside and outside, so the observation deck will still be accessible.
-
For bike parking, we could designate spots on both the left and right sides of the structure to keep it organized. Another idea is to move the minibar closer to the front, allowing it to remain a central feature without interfering with bike parking. We’ll also coordinate with neighboring camps to share a larger bike parking area for everyone.
-
Regarding the container, we haven’t finalized whether we’ll have canopy structures. There will still be pipes extending upward, but no full canopy. One idea is for the top of the pole structure to slope down, stopping at the container before resuming, allowing both airflow and an unobstructed view of the playa from the top. This is still TBD.
-
For Joshua Tree, if you’re joining, you're responsible for your own accommodations. Join the WhatsApp group to coordinate with others, and you can come whenever it works for you.
Bar/ DJ Booth Meeting - 4/15/2025
Agenda items:
Attendees: Alex Holman, Jeremy Snider, John Clow (Spacemaster)
- Design review
- Initial review
- Bar:
- Wire shelving is likely not sturdy enough for the demands of a bar (people dancing on tables, heavy coolers). The wood top also is likely to warp/weather quickly.
- The steel table aesthetic was appreciated for its stability. Ideas included acrylic detailing on sides of table, stenciling on top, naming the bar. Other comments are included on the miro board.
- DJ:
- The 80/20 fabrication was thought to work well here, can develop a streamlined/modern build with it that potentially incorporates some of the acrylic work
- Bar:
- Next steps
- Alex - working with John on acrylic design
- Jeremy - will think through structure design, order sample of corrugated material
- John - coordinate with Alex (on acrylic design templates/possibilities) and Jeremy (testing construction, lighting/application)
- Initial review
- Timelines / Logistics
- Where/when/who is doing what:
- This could be good project to complete in SF, given the availability of turtle truck for shipping and acrylic making.
- Both Alex and Jeremy are going to build week, and can test ideas there
- Schedule another meeting in 1-2 weeks to see where we are.
- Where/when/who is doing what:
